In short: we collect only what's needed to run your account and perform translations, we never use your uploaded documents to train any AI model, and you can export or delete your data at any time. The details are below. See also our Security practices and GDPR compliance page.

1. Information We Collect

We collect information you provide when creating an account (name, email address, payment details), information generated when you use Vernacia (uploaded documents, translation jobs, usage data), and technical information such as IP address, browser type, and device identifiers.

Uploaded documents: Files you upload for translation are stored temporarily on our servers solely to perform the requested translation. We do not read, index, or use your document content for any purpose other than performing the translation you requested.

2. How We Use Your Information

  • To provide, maintain, and improve the Vernacia translation service
  • To process payments and send transactional emails (receipts, job completion notifications)
  • To respond to support requests and communicate service updates
  • To detect and prevent fraud, abuse, or security incidents
  • To comply with legal obligations

We do not sell, rent, or share your personal information with third parties for their marketing purposes.

2a. Legal Basis for Processing (GDPR Art. 6)

For users in the European Economic Area and the United Kingdom, we process your personal data on the following legal bases:

  • Contract performance (Art. 6(1)(b)): Account management, processing translation jobs, billing, and delivery of the service you signed up for.
  • Legitimate interest (Art. 6(1)(f)): Security monitoring, fraud prevention, audit logging, and service reliability. Our interest does not override your rights — you may object at any time.
  • Consent (Art. 6(1)(a)): Analytics cookies and marketing communications. You may withdraw consent at any time via cookie settings or by emailing [email protected].
  • Legal obligation (Art. 6(1)(c)): Retention of tax and financial records as required by applicable law.

2b. Optional Contributions & the Supporters Wall

If you'd like to support Vernacia beyond your regular subscription, you can optionally make a one-time or recurring contribution through our Supporter Program. This is a purchase of a digital perks bundle (a badge, bonus page-credits, and similar perks), processed the same way as any other payment on Vernacia — see our DPA for the payment processors involved.

As part of a contribution, you may choose to have your name displayed publicly on our Supporters Wall. This is off by default— we only display your name if you explicitly opt in at checkout. You can change this choice at any time from your account settings, and turning it off removes your name from the Wall immediately without affecting your badge or any perks you've already earned.

3. Document Data & AI Processing

Documents you upload are sent to OpenAI's API for translation. For certain language pairs (low-resource languages), the document text may instead be processed by Google Cloud Translation. Both providers process this data under their own privacy policies and data processing agreements, and neither uses your document content to train their models. We do not use your document content to train AI models. Uploaded files and translated outputs are automatically deleted from our servers 30 days after job completion. 4. Data Storage & Security

Vernacia's production infrastructure is planned and architected around the ap-south-1 (Mumbai, India) region. We use industry-standard security measures including TLS encryption in transit, AES-256 encryption at rest, and strict access controls. We maintain audit logs of all internal data access.

5. Cookies & Tracking

We use strictly necessary cookies to maintain your login session. With your separate, explicit consent, we also use analytics cookies (Google Analytics) to understand how the service is used and improve it, and marketing cookies (Google Ads, Meta/Facebook Pixel, LinkedIn Insight Tag) to measure the effectiveness of our marketing campaigns — neither category is loaded unless you opt in via the consent banner shown on your first visit, and you can change your choice at any time. 6. Your Rights

Depending on your location, you may have the right to access, correct, delete, or export your personal data; object to or restrict processing; and withdraw consent. To exercise these rights, contact us at the email below. We will respond within 30 days.

7. Data Retention

Account data is retained while your account is active. Uploaded files and translation outputs are deleted 30 days after job completion. If you delete your account, we delete all associated personal data within 24 hours, except where retention is required by law (e.g. tax and financial records, retained for 7 years).

8. Children

Vernacia is not intended for children under 16. We do not knowingly collect personal data from children. If you believe a child has provided us personal data, contact us immediately.

9. Changes to This Policy

We may update this policy periodically. We will notify you of material changes via email or a prominent notice on the site. Continued use of Vernacia after changes constitutes acceptance of the updated policy.
